LHH is partnering with the San Francisco office of a prestigious international law firm to help fill a Litigation Legal Administrative Assistant role. We are seeking a highly organized and detail-oriented Legal Administrative Assistant to provide exceptional support to civil litigation attorneys in the San Francisco office. This position offers an exciting opportunity for individuals with strong administrative skills and a passion for the legal field to thrive in a dynamic and rewarding environment. Location: San Francisco, CA Workplace: Hybrid - 3 days onsite, 2 days remote Type: Permanent Hire Position: Litigation Legal Administrative Assistant Responsibilities Include:
  • Document Management: Assist in drafting, proofreading, formatting, and filing legal documents, including pleadings, motions, and correspondence.
  • Court Filings: Prepare and file legal documents with State and Federal courts, ensuring compliance with deadlines and local rules.
  • Calendar Management: Maintain attorney calendars, schedule appointments, court appearances, and meetings, and provide timely reminders. Manage calendars through Microsoft Outlook.
  • Client Communication: Act as a liaison between attorneys and clients, handling inquiries, and ensuring excellent client service.
  • File Maintenance: Organize and maintain physical and electronic case files, ensuring all documents are accurately labeled, indexed, and readily accessible.
  • Billing Assistance: Prepare and process client invoices, track billable hours, and assist with expense reports.
  • Administrative Support: Assist attorneys with administrative tasks, such as travel arrangements, expense reports, and general office duties.
  • Trial Support: Assist attorneys in preparing trial materials, including exhibits, witness lists, and trial binders.
Qualifications and Skills:
  • Minimum of 5 years of experience as a legal secretary in civil litigation
  • Proficient in using legal software, Microsoft Office Suite, and document management systems
  • Exceptional organizational and time management skills to manage multiple tasks, prioritize responsibilities, and maintain detailed and accurate records in a fast-paced legal environment
  • Strong attention to detail in preparing and proofreading legal documents and correspondence
  • Experience with e-filing in State and Federal courts
  • Excellent verbal and written communication skills to interact effectively with attorneys, clients, and external parties
Education:
  • High school diploma or its equivalent required. Completion of a legal secretary or paralegal program is a plus.
Compensation and Benefits:
  • Salary $85,000 to $110,000, depending on experience.
  • Benefit offerings may include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits, and 401K plan.
  • Available paid leave may include Paid Sick Leave; any other paid leave required by Federal, State, or local law; and Holiday pay upon meeting eligibility criteria.
  • Hybrid work schedule with three days in office and two days working from home; schedule subject to change.
