Administrative Assistant


Ajilon is seeking experienced administrative professionals for a new Executive Assistant role in the Phoenix area! This role will operate within the technology department of a large financial advisory firm, and primary responsibilities will include managing the schedule of five executives across two offices, coordinating internal communications, and developing/submitting travel plans and expense reports.


Job Details:

  • Starting compensation for this position is set at $35/hr.
  • The role will be on-site in Phoenix, AZ
  • This position is offered on a contract-to-hire basis.

  • Core Requirements:

  • Schedule appointments, meetings, and travel plans for five senior executives, managing various logistical and communicative work to ensure all requests for time are handled appropriately.
  • Attend various internal meetings to record minutes and communicate decisions to pertinent parties.
  • Communicate across departments and with Strategy and Business units to ensure projects are aligned to forecasts/company goals in matters of quality and delivery date.
  • Occasionally give presentations on various topics when needed.
  • Serve as key coordinator for all department activities.
  • Anticipate various department needs and take appropriate action to meet them.
  • Serve as the primary point of contact for external communication for executives, promptly routing or delegating inquiries to appropriate team members.

  • Qualifications:

  • Five collective years of experience as either an Executive Assistant, Chief of Staff, or Project Manager.
  • Extensive experience with Microsoft SharePoint.
  • Top-notch written and verbal communication, including experience engaging with a c-level audience.
  • Demonstrates good business sense and a desire to further develop leadership skills.
