Special Counsel is currently recruiting an IP Legal Administrative Assistant for the Cleveland Office of a national law firm.


Responsibilities:

  • The IP Legal Administrative Assistant will have prior patent and trademark prosecution experience and will be responsible for providing administrative support to assigned attorneys in the Intellectual Property practice group.
  • The ideal candidate will have domestic and foreign filing and e-filing experience in a law firm setting and will be a self-starter, able to work effectively, independently and in a team.
  • The highest attention to detail, as well as professionalism, is required for this position.
  • Responsibilities include:Provide assistance to the attorneys in the IP practice in a collaborative team environment.
  • Prepare patent applications and prosecution documents including: amendments, responses, Information Disclosure Statements and appropriate transmittal forms during all stages of patent and trademark prosecution for attorney review.
  • Preparation of communication to clients regarding progression of prosecution of cases in portfolio.
  • Review and manage docket, providing updated information to attorneys.
  • Regularly update docketing department regarding actions taken.
  • Prepare client matter request forms for submission to docket department for new cases.
  • Prepare legal documents and general correspondence from dictation or written format in an accurate and timely manner; draft standard correspondence; proofread, edit and format documents.
  • Organize and maintain electronic and paper document files.
  • Maintain and coordinate calendar and travel schedules; schedule meetings and make travel arrangements.
  • Accurate and efficient time entry of attorney services.
  • Prepare client bills, check requests and expense reports.
  • Process incoming mail.

  • Qualifications:

  • 3-5 years of Intellectual Property experience in a law firm.
  • Experience with PCT filings and e-filings.
  • Experience with domestic and foreign documents.
  • Excellent organizational and follow up skills.
  • Strong oral and written communication skills.
  • Ability to handle multiple, competing priorities in an effective manner.
  • Ability to prioritize workload to meet deadlines; must be able to work effectively in deadline pressured situations.
  • Excellent interpersonal skills; strong client service orientation.
  • Proficiency in Microsoft Office Suite.
  • Minimum typing speed of 65 wpm.
